Follow these steps to complete an employee's onboarding process
How to add a new starter

Go to Manager > Staff

Click Add Staff

Toggle the Active Status from New Employee is Not Active to New Employee is Active

Click Place Staff in Pre-Employment if you wish to send starter forms or relevant policies to the new employee.

Select the correct permission role to attach to the new starter from the Staff Level dropdown.

Pre-employment means that the employee must fill in forms and accept policies before they can use the system.

Fill out the form with details of the new staff member: First Name, Surname, Email, their Manager, Department, Position, Start Date and Contract Type

Click Use Profiles to assign a default profile setting to the new starter and select the correct profile to apply. This will apply relevant settings to the employee.

Press Submit once you have filled in all information
Note: If you need to add additional information, i.e. an Employee Number, please add in here.

When an employee has completed pre-employment, managers must then grant access to the system (once the employee has everything completed. )

This can be done in System Details>Grant Access

OR go to Manager > Reports > Onboarding Report and Grant Access from there.
Until the starter form is complete, managers should not generate a contract.
How to create a contract for an existing employee

Click HR Content Hub

Select Contracts
-
From Templates choose the contract you wish to issue, and click Create Contract

Untoggle New Employee if the employee is already on the system [and choose the employee’s name from the dropdown menu]

Fill out the required fields; e.g. start date.

Then go to Complete Fields. Here you will need to add information. i.e. Addresses, Salary and Annual Leave.

If selected, named managers can edit contracts.

Click View Preview to check if all information is correct on the contract.

Click Submit
How to request a signature for a contract

Newly created contracts are located In-Process within HR Content Hub

You can Request Signature beside the employee’s name and choose who you would like to request a signature from; the employee or the manager.

Type a message here, to send to the recipient.

Click Submit and you will see that the contract label is now Pending

Click HR Content Hub

Select Contracts
-
Choose In-Process from the column on the left.

In-Process contracts are colour-coded: they have a green dot when created and are orange when pending signatures.

Click Info to see their current status.
Once both signatures are received, the contract will move to Complete and the onboarding process is now complete.
