How to approve TOIL for an employee via the Weekly TOIL Report
The system can capture time worked over an employee's contracted hours. Managers will need to approve these hours so that the employee can in turn apply for TOIL leave. Ensure the relevant permissions are turned on and ensure managers are only approving time from one report.
Note: Managers will need to approve the employees’ timecards before approving TOIL hours.
- To approve TOIL earned, you can go to the reports section by clicking Manager > Reports > Time > Weekly TOIL report.
- Choose the week in question. You will see hours clocked each day and then note a column ‘Hours’ and ‘TOIL’.
Note: The hours worked will note the total hours worked for the week and the TOIL hours should note the extra hours worked over the employees contracted hours.
- Click on the pencil icon.
Note: This will note the hours worked in the week or any leave taken. Any extra hours worked should pull through in the TOIL column and there is also an option to leave a suitable comment here.
- If all is in order, click on the Confirm button to the right of the employees' name to add the TOIL hours to their balance.
- This balance can be found on the employees profile in Manager > Staff > Leave, in the Time in lieu (TOIL) Extra Leave (in hours) field.
- A manager can adjust the TOIL balance here also by clicking on the plus/minus icon.
